The Office of Information Technology (OIT) recommends that faculty, staff, and departments lease a standardized multifunction copier or, if there is a business need, a managed desktop printer.
Consult with your department’s technology administrator (TAG) or OIT’s Printing and Public Technologies (PPT) team by emailing help@pdx.edu before leasing or purchasing a copier or printer.
Your TAG or OIT will assess each new copier or printer procurement request and provide advice on the best fit for the department’s needs and budget.
Considerations include:
Business needs, including legal requirements (e.g. ADA, HIPAA, FERPA).
Whether printing private/sensitive information can be accomplished via a departmental copier or requires a managed desktop printer.
We will contact the company the department leases their copier from to determine if secured printing is possible.
Your department’s current print volume. Campus-wide, printing has recovered to a 25% - 33% pre-pandemic rate.
Copier or printer models will be recommended that have not reached/passed End of Life (EoL)/End of Service Life(EoSL), have the lowest cost, and meet the needs of the department. We will consult with the department and answer any questions until the department makes a final decision on what they want to get and then initiate the process of getting the copier or printer ordered and set up.
It is vital to consult with your department’s TAG or the PPT before purchasing a desktop printer. OIT will assess all printer purchases and may require that you return the printer because it is not supported and/or you are paying higher costs than necessary.
