Event Audio Visual (AV) Support Overview

OIT supports a multitude of events, meetings, and conferences on Portland State University’s campus. Some of the services we provide include:

  • Audio amplification and recording

  • Video projection

  • Zoom webinars

Our technicians set and strike equipment prior to and after your event. Larger events require hiring one or more technicians to ensure proper operation of the reserved audio visual (AV) equipment.

Zoom webinars are a tool used by the AV Events team to offer the coordination and facilitation of large remote or hybrid events. Our Webinar licenses are only available for events we actively support.

How to Request Event AV Support

Follow these steps to order AV equipment and/or services for your meeting, conference, or event:

  1. Reserve the event space with Conferences and Events or the space manager.

    • For large events, organize a pre-event meeting with Conferences and Events, OIT, Portland State Professional Sound, Box Office, and Catering.

  2. Complete the Event AV support request form.

    • List the desired equipment and services.

    • You will receive a cost estimate for rentals and services requested. Approval of this estimate is required to complete the booking process.

Note:

  • Reservation made fewer than fourteen days before an event are subject to a 25% late fee.

  • Additional fees may be charged for new event requests or significant changes to bookings less than 72 hours before event start time.

  • Reservation cancellations must be at least 48 hours prior to event start time to qualify for a refund.
