Add a New TC

  1. Assign the Jira ticket to yourself, but wait for it to be Approved by someone on the TC Approvers list (Cognos > Departments > OIT > TC Approvers [click Finish])

    1. If it takes a long time, and you suspect the Approver might have ignored the email, make them a Request Participant and send an email explaining the situation and asking for approval.

    2. If the approver is not on that list, email Reporter via Jira ticket suggesting a different approver on the list and help move approval logistics forward.

  2. Once approved, move the status to In Progress

  3. Add the new TC

    1. Update the Technology Coordinators List

    2. Add the new TC to the TC Google Group

    3. Add the new TC to the TCSD Customer list

    4. Add new user into PCR-360:

      1. On the blue Main tab on the left, select People > Workers/Contacts

        1. Search for the user and double click on their name

        2. Under Type, select User, Customer, and Coordinator

        3. (HR populates this list. You will never add a new person here.)

      2. On the orange Admin tab on the left, select User Management > Users

        1. Search for the user – if they were previously a TC (rare) they will already be in the system. If not found:

        2. Add a new user ID, which will always be their Odin ID

        3. Do not populate the Display Name

        4. Add the roles Customer Center & Guest

        5. Select the Select /Update existing contact radio button and click on the binoculars.

          1. Search the peron's name or odin ID and click Select.

          2. Make sure the phone number provided matches the contact and click “Save New.”

  4. If the new TC is not the Reporter, add them as a Request Participant, to ensure they receive the email you’re about to send.

  5. Resolve the Jira ticket, sending this email:

Welcome! You are now an OIT Technology Coordinator (TC), with the authority to request service for your department in the PSU Help Center.

We recommend each department designate two TCs -- please let us know if your department would like another TC to help support your department.

Remove a TC

  1. Assign the Jira ticket to yourself, but wait for it to be Approved by someone on the TC Approvers list (Cognos > Departments > OIT > TC Approvers [click Finish])

  2. Once approved, move the status to In Progress

  3. Remove the TC

    1. Remove from the Technology Coordinators List (and check to see if they’re remaining a TC for another department, in which case skip the remaining removal steps)

    2. Remove the TC from the TC Google Group

    3. Remove access from the TCSD by creating a subtask for the “Digital Accessibility & Content” team to remove TC as a Customer of the TCSD.

    4. Remove user from PCR-360:

      1. On the blue Main tab on the left, select People > Workers/Contacts

        1. Search the user and double click on their name

        2. Under Type Remove User and Coordinator

      2. On the orange Admin tab on the left, select User Management > Users

        1. Search for the TC and double click on their name.

        2. Click the Inactive button (this will turn the record red)

        3. Click Save and Close

  4. Resolve the Jira ticket, sending this email:

Your request is complete: NAME NAME has been removed as a Technology Coordinator for DEPARTMENT. Thanks for helping us keep the TC list up to date!
