Many University departments configure their copier/printers to require user codes in order to print. This allows them to track usage, and ensure that departmental resources aren't being used for non-work related reasons. If your office copier/printer has user codes set up, any attempts to print to it without providing a user code will be rejected.

Printing with a User Code on Windows

Printing to a queue with a user code from a Windows computer requires you add the necessary printer queue to your computer first. For more information on adding networked office printers, see the Installing a Network Printer page.

Saving Your User Code to a Ricoh Printer

You can permanently add your user code to the printer settings on your computer, allowing you to print without typing your code each time.

To add your user code, do the following:

  1. Open the Start Menu.
  2. Select the Control Panel.
  3. Select Devices and Printers.
  4. Right click on the printer you would like to add your user code to and select Printing Preferences.
  5. Select the Detailed Setting tab.
  6. Select Job Setup.
  7. Enter your user code in the User Code field. 

  8. Select the Apply button, then press OK.

Printing with a User Code on Mac

Printing to a queue with a user code from a Mac requires you add both the specific printer queue and any model-specific drivers. If you haven't done so, you will be unable to continue past Step 2. For more information on adding networked office printers, see the Installing a Network Printer page.

Saving Your User Code to a Ricoh Printer

You can permanently add your user code to the printer settings on your computer, allowing you to print without typing your code each time.

To add your user code, do the following:

  1. Open a document you want to print.
  2. Select File > Print.
  3. When the print menu appears, select the printer from the Printer drop down box.
  4. Select Job Log from the dropdown menu above the User ID box.
  5. Check the box labeled "Enable User Code" and enter your code in the User Code field. 
  6. Select Print.
  7. In the Presets dropdown, select Save As.
  8. In the dialog box, enter a name for this preset, such as "User Code".
  9. Select the OK button.

Note: Whenever you want to print to that printer, you will need to select the saved preset from the Presets drop down, then select Print.
