Affiliate Accounts Overview

Affiliate accounts are typically created for non-credit students or non-traditional employees (for example, those who are not being paid through Human Resources). Volunteers, short-term visitors, and contractors or vendors are also good candidates for an Affiliate account. Only deans, department heads, directors, and their proxies can create Affiliate accounts.

Obtain a New Affiliate Account

To obtain an Affiliate account, the dean, department head, or director of the department must request an account on your behalf by completing the following steps. You will then receive an email at your external email address, with instructions to activate your Affiliate account.

  1. Sign in to the Odin Account Manager at oam.pdx.edu.

  2. Select Manage Affiliate Accounts.

  3. Select Request Affiliate Access.

  4. If the person may have had a PSU account in the past, enter their PSU ID number or Odin username. Otherwise, select Request Affiliate form

  5. Fill out the form and enter a valid email address for the person needing the account in the field labeled External Email Address. By default, affiliate accounts expire one year from the date that the account was requested, or you may set a custom expiration date up to one year from the date of the account request.

  6. Select Submit. Instructions to activate the Affiliate account will be sent to the external email address.

Renew an Affiliate Account or Convert an Employee Odin Account

To renew your Affiliate account or convert your employee Odin account to Affiliate status; the Dean, department head, or director of the department under which your account was created must complete the following steps on your behalf:

  1. Sign in to the Odin Account Manager at oam.pdx.edu.

  2. Select Manage Affiliate Accounts.

  3. Select Request Affiliate Access and enter the PSU ID or Odin username of the account being renewed or converted. 

  4. Select Find.

  5. Select the Request Access link next to the name of the account being renewed or converted.

  6. Fill out the form and select Submit.

Submitting this form will send an email to the address on file for the Odin account being renewed or converted, which confirms that the action has been completed. Nothing further needs to be done after this email is received.

Manage a Existing Account

  1. Select the account you wish to manage from the Affiliate Accounts page.

  2. Choose one of the three predefined renewal periods: 1 year, 6 months, or 30 days.

  3. If a different period is desired, select Need a different expiration date? You may set a date up to one year from the date of the account renewal.

    1. To terminate an existing account, select Need a different date? and set the expiration to the current date.

Who Can Request Affiliate Accounts

Only deans, department heads, directors, and their proxies, can request Affiliate accounts. If a user needs an Affiliate account or needs to renew their Affiliate account, they should contact their associated dean, department head, or department director.

Affiliate Account Emails

Once you have started the process for an affiliate account request, an email will be sent to the recipient starting with an email telling them that their affiliate account has been requested, available, created, or converted (depending on the request that the requestor submitted). Below are what the emails appear as.

Dear <Affiliate Name>,

This email is to inform you that an Affiliate account has been created for you based on a request submitted by <Account Sponsor>.

Listed below is your PSU identification number and OAM activation code.

PSU Identification Number: {PSU_ID}

OAM Activation Code: {SECURITY_CODE}

To finish the account setup process, visit oam.pdx.edu and choose Activate New Account. You will be guided through the process of activating your account at PSU, including selecting your Odin username and password.

Account Creation Shortform

After the affiliate receives the account requested email, they will fill out the account creation form. Users will be asked to ensure that information is correct such as their First and Last Name, Date of birth, Social Security Number, Email Address, Phone number, and Mailing Address.

Granting Proxy for Affiliate Account Requests

  1. Go to banweb.pdx.edu.

  2. Log in using your Odin username and password.

  3. Select System Access Menu.

  4. Select Affiliate Proxy Management

  5. On the Proxy Management screen, select Add a Affiliate_Admin Proxy

    • You will only see the Add a Proxy option for the roles you hold.

    • If you do not see any proxy options available, you are not an RBAR approver or an authorized Affiliate Account creator.

  6. Your request is sent to the proxy approver, who approves or denies the proxy request.

    • If approved: The assignment will become active on the requested start date. If the requested start date has already passed, it will become active immediately. No notifications will be sent to the proxy or the approver.

    • If denied: The assignment will be displayed in a separate Rejected Proxies section of the Proxy Management screen.
